Legacy Arrows Academy — Website Terms & Conditions and Enrollment Terms

These Terms & Conditions (“Terms”) govern your access to and use of the Legacy Arrows Academy website and any related services, including enrollment and participation in live virtual instruction (collectively, the “Services”).

By using our website, submitting an enrollment application, paying tuition, or participating in our programs, you agree to these Terms. If you do not agree, do not use the Services.

Note: This document is not legal advice. It’s a strong operational Terms & Conditions. For maximum protection, have a local attorney review it for your state and your exact service model.


1) About Legacy Arrows Academy

Legacy Arrows Academy (“LAA,” “we,” “us”) provides a faith-informed, values-centered virtual education program. We partner with families to support a consistent, safe, and academically focused learning environment.


2) Eligibility and Account Responsibility

You must be a parent/legal guardian or authorized adult to enroll a student and agree to these Terms on the student’s behalf.

You agree to:

  • Provide accurate enrollment and billing information

  • Keep login credentials secure

  • Ensure the student’s participation follows these Terms and school policies

You are responsible for all activity that occurs under your account and the student’s access credentials.


3) Enrollment = Agreement to Policies

By enrolling a child at Legacy Arrows Academy, families agree to uphold:

  • School expectations and routines

  • Attendance requirements

  • Adult supervision requirement

  • Student and family Code of Conduct

  • Technology, privacy, recording, and intellectual property rules

  • Tuition and billing obligations

These standards help ensure a safe and supportive learning environment for all students.


4) Adult Supervision Requirement (Mandatory)

For safety, legal, and instructional reasons, a responsible authorized adult must be physically present and supervising the student at all times during live virtual instruction.

This may include a parent/legal guardian or another designated adult approved by the parent/guardian. If an adult other than the parent/guardian will supervise, the academy must be notified in advance.

Students may not participate in live virtual classes while home alone. If a student logs in without an authorized supervising adult present, the academy may remove the student from the session and notify the family.

Repeated concerns regarding lack of supervision may result in:

  • A family meeting

  • An attendance or safety plan

  • Administrative review of enrollment status, including possible withdrawal/termination


5) Tuition, Billing, and Financial Responsibility

5.1 Tuition Payments

  • Tuition is charged monthly and is due on the first (1st) day of each month unless otherwise stated in writing.

  • Payments must be made through the academy’s approved billing platform: [Billing Platform Name].

  • You agree to keep billing information current.

5.2 Late Payments and Non-Payment

Late payment may result in one or more of the following:

  • Late fees (if applicable)

  • Temporary suspension of access to classes and/or platforms

  • Administrative review of the enrollment agreement, including possible withdrawal/termination

Families agree to notify LAA at least ten (10) days in advance if payment issues arise.

5.3 Refunds

  • Tuition is non-refundable except in specific circumstances stated in your enrollment agreement or required by law.

  • Missed classes due to student absence are not refunded.

5.4 Financial Responsibility

By enrolling, families agree to remain financially responsible for all tuition and fees associated with the student’s participation, including any applicable withdrawal notice period.


6) Attendance and Participation Requirements

Because Legacy Arrows Academy provides synchronous learning, attendance and engagement are essential.

6.1 Daily Attendance Expectations

Students are expected to attend all scheduled classes unless they are:

  • Ill

  • Observing a religious holiday

  • At a medical appointment

  • Experiencing a documented family emergency

6.2 What Counts as “Present”

A student is typically considered present when they:

  • Log in on time

  • Participate with camera on (unless approved otherwise)

  • Remain reasonably engaged throughout the lesson

6.3 Reporting Absences

Families must notify the academy before the school day begins when a student will be absent. Notification should be made via:

  • Email to: [Academy Success & Family Engagement Email], and/or

  • LAA’s communication platform (if available)


7) Acceptable Absences and Promotion Guidelines

Legacy Arrows Academy follows a virtual-learning standard similar to many U.S.-based K–12 programs.

A student may not miss more than:

  • 10% of total instructional days per academic year (approximately 18 days in a standard 180-day year)

7.1 Chronic Absenteeism

A student may be considered chronically absent if they miss:

  • 10 or more instructional days in a semester, or

  • 18 or more instructional days in the full school year

7.2 Impact on Promotion

Students exceeding acceptable absence thresholds may:

  • Be placed on an Attendance Support Plan

  • Be required to complete supplemental assignments

  • Be at risk of not advancing to the next grade level

Repeated unexcused absences may result in:

  • A family meeting with academy leadership

  • Review of enrollment standing

  • Academic consequences for incomplete coursework


8) Parent/Guardian Responsibilities

Parents/guardians agree to:

8.1 Support Learning at Home

  • Provide a quiet, distraction-free learning space

  • Ensure functioning technology and reliable internet

  • Encourage timely assignment completion and participation

  • Monitor progress and communicate concerns promptly

8.2 Maintain Open Communication

  • Respond to academy communication within 24–48 hours

  • Monitor email and announcements regularly

  • Notify staff of issues affecting attendance or performance

8.3 Uphold Policies

  • Follow media release rules (if applicable)

  • Adhere to technology and behavior expectations

  • Support the academy’s Code of Conduct


9) Student Expectations and Virtual Classroom Guidelines

Students are expected to:

  • Arrive on time and prepared

  • Keep camera on unless approved otherwise

  • Use respectful language and behavior

  • Participate actively

  • Turn in assignments on time

  • Avoid distractions (phones, toys, unrelated tabs)

9.1 Technology Requirements

Families are responsible for access to:

  • Reliable internet connection

  • Working camera and microphone

  • A device that meets academy specifications

  • Access to required platforms for instruction

9.2 Camera, Audio, and Environment

  • Students must remain on camera unless an exception is granted

  • Background must be appropriate and free of distractions

  • Virtual backgrounds must be school-appropriate

9.3 Academic Integrity

Students must complete their own work unless collaboration is assigned.
Plagiarism, cheating, or misuse of unauthorized tools may result in:

  • Parent meeting

  • Assignment redo and/or reduced credit

  • Additional academic consequences as determined by LAA


10) Parent Conduct and Communication Standards

Parents/guardians must:

  • Treat staff with respect and courtesy

  • Communicate concerns constructively through appropriate channels

  • Avoid interrupting or coaching students during live lessons

  • Support classroom management decisions

Parents/guardians may not:

  • Record lessons without written permission

  • Interfere with instructional flow

  • Contact teachers via personal accounts

  • Share or distribute curriculum materials


11) Privacy, Security, and Recording Restrictions

11.1 Privacy Protection

Families must ensure:

  • No unauthorized individuals appear on camera during lessons

  • Student login information is kept secure

  • Academy digital files/materials are not shared externally

11.2 No Recording / No Screenshots

To protect student privacy:

  • Families may not record any part of live instruction

  • Screenshots of other students are prohibited

  • Posting any class content online is prohibited

Violations may result in administrative review and may lead to suspension or termination of enrollment.


12) Curriculum and Intellectual Property

All instructional materials (worksheets, slides, videos, assessments, recordings if any, and digital content) are owned by Legacy Arrows Academy or its licensors and are protected by intellectual property laws.

You may not:

  • Reproduce

  • Distribute

  • Repurpose

  • Share externally

  • Use with other students/programs outside LAA

LAA grants enrolled families a limited, revocable, non-transferable license to use materials solely for the enrolled student’s educational participation during the enrollment term.


13) Discipline, Safety, and Learning Environment

Legacy Arrows Academy uses a supportive approach to discipline. Families will be notified when behavior interferes with learning.

Repeated behavior issues may lead to:

  • Behavior Support Plans

  • Parent conferences

  • Administrative intervention

  • Temporary removal from class activities

  • Administrative review of enrollment status

Serious violations (harassment, bullying, aggressive conduct, severe disruption, or privacy violations) may result in immediate intervention and possible termination.


14) Promotion and Retention

Promotion decisions are based on holistic assessment and the student’s best interest, including:

  • Attendance

  • Academic progress

  • Assignment completion

  • Participation and engagement

Students who fall short may be required to:

  • Complete supplemental work

  • Attend skill-building sessions

  • Participate in an academic review meeting


15) Withdrawal and Termination of Enrollment

15.1 Family-Initiated Withdrawal

Families must provide 30 days’ written notice to withdraw from the academy unless otherwise stated in the enrollment agreement.

15.2 Academy-Initiated Termination

LAA may initiate withdrawal/termination for:

  • Non-payment of tuition

  • Repeated absenteeism

  • Severe or ongoing behavioral issues

  • Breach of these Terms or school policies

  • Failure to meet technology or participation requirements

  • Repeated violations of privacy/recording restrictions

Termination decisions may include removal from live sessions and/or platform access.


16) Disclaimers

The Services are provided on an “as available” basis. While we aim for high-quality instruction and reliable access, we do not guarantee uninterrupted service due to factors outside our control (internet outages, platform disruptions, device failures, etc.).

Legacy Arrows Academy does not provide medical, psychological, legal, or emergency services. Families remain responsible for student supervision and safety at all times.


17) Limitation of Liability

To the fullest extent permitted by law, Legacy Arrows Academy will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of data, loss of access, or interruption of services.

If liability is found, LAA’s total liability for any claim related to the Services will not exceed the amount of tuition paid for the most recent one (1) month of enrollment (or the minimum amount permitted by law, if different).


18) Indemnification (Edited / Stronger)

You agree to indemnify, defend, and hold harmless Legacy Arrows Academy, its owners, directors, officers, employees, contractors, volunteers, and agents (collectively, the “LAA Parties”) from and against any and all third-party claims, demands, actions, damages, losses, liabilities, judgments, penalties, fines, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to:

  1. Your or your student’s violation of these Terms, the Parent & Family Handbook, or the Code of Conduct;

  2. Misuse of the Services or the website, including unauthorized access or improper use of accounts;

  3. Any violation of privacy, recording, or intellectual property restrictions;

  4. Any inaccurate, incomplete, or misleading enrollment, health/safety, or billing information you provide; or

  5. Your negligence or willful misconduct (or your student’s), to the extent it causes harm to LAA or others.

LAA will provide notice of any claim covered by this section when reasonably possible. LAA may choose to control the defense and settlement of the claim, and you agree to cooperate reasonably in the defense.


19) Changes to These Terms

We may update these Terms from time to time. Updates will be posted on our website with a revised “Last Updated” date. Continued use of the Services after changes means you accept the updated Terms.


20) Governing Law and Dispute Resolution

These Terms are governed by the laws of [United States], without regard to conflict-of-law rules.

Any dispute arising under these Terms shall be handled in [Florida], unless otherwise required by law. LAA may require disputes to be resolved through informal resolution efforts before formal proceedings.

Legacy Arrows Academy (“LAA”) is committed to providing a learning and working environment that is safe, respectful, inclusive, and free from unlawful discrimination and harassment. We believe every student and family should be treated with dignity and fairness.

This policy applies to all aspects of LAA’s program and operations, including but not limited to: admissions/enrollment, access to programs and services, educational activities, tuition/billing interactions, discipline, and communication with staff.


1) Non-Discrimination Statement

LAA does not discriminate on the basis of race, color, national origin, ancestry, sex, gender, gender identity or expression, sexual orientation, religion, disability, age, or any other status protected by applicable federal, state, or local law.

For Connecticut families, state law prohibits discrimination in public school programs on bases including race, color, sex, gender identity or expression, religion, national origin, sexual orientation, and disability.
(If LAA is not a public school, the exact statute applicability may differ, but this remains LAA’s internal standard.)


2) Harassment and Bullying Are Prohibited

LAA prohibits harassment or bullying based on any protected characteristic listed above.

Harassment may include (examples): slurs, insults, degrading comments, threats, intimidation, unwanted sexual comments, sharing discriminatory images, or targeting a student/family in chats, emails, video sessions, or learning platforms.

This includes online/digital conduct that affects a student’s ability to participate in school.


3) Retaliation Is Prohibited

LAA prohibits retaliation against anyone who:

Reports discrimination or harassment in good faith,
Participates in an investigation,
Requests an accommodation, or
Supports someone who made a report.

Retaliation will be treated as a serious violation and may result in discipline up to and including termination of enrollment or removal from school platforms.


4) Accessibility, Disability Support, and Reasonable Accommodations

LAA is committed to providing reasonable accommodations for qualified individuals with disabilities, consistent with applicable law and operational realities of a virtual program.

Examples may include: adjusted deadlines, accessibility supports, approved camera alternatives, assistive technology compatibility, or other appropriate supports determined through an interactive process.

Factfinding (interviews, review of platform logs, messages, submissions)

Decision and outcome based on the preponderance of evidence standard (more likely than not), unless applicable law requires a different standard

Corrective action if a violation is found

Follow-up to prevent recurrence
