Terms of Service

These Terms and Conditions (the “Terms”) govern your access to and use of the Legacy Arrows Academy website and any related services, including enrollment and participation in live virtual instruction (collectively, the “Services”).

By using our website, submitting an enrollment application, paying tuition, or participating in our programs, you agree to these Terms. If you do not agree, please do not use the Services.

1. About Legacy Arrows Academy

Legacy Arrows Academy (“LAA,” “we,” “us,” or “our”) is a Christian, faith-informed K-5 virtual school based in Florida, USA, serving families across the United States and Latin America. We teach biblical character — integrity, compassion, courage, and stewardship — alongside a strong academic program anchored in Florida B.E.S.T. Standards. Families of all backgrounds, faiths, and cultures are warmly welcomed.

We partner with families to support a consistent, safe, and academically focused virtual learning environment.

2. Eligibility and Account Responsibility

You must be a parent, legal guardian, or other adult authorized to enroll a student in order to register for LAA and agree to these Terms on the student’s behalf.

You agree to:

  • Provide accurate enrollment and billing information
  • Keep all login credentials secure
  • Ensure the student’s participation follows these Terms and all LAA policies

You are responsible for all activity that occurs under your account and under the student’s access credentials.

3. Enrollment Means Agreement to Policies

By enrolling a child at Legacy Arrows Academy, families agree to uphold:

  • School expectations and daily routines
  • Attendance requirements
  • The Adult Supervision Requirement (Section 4)
  • The Student and Family Code of Conduct
  • Technology, privacy, recording, and intellectual property rules
  • Tuition and billing obligations

These standards help ensure a safe and supportive learning environment for every student.

4. Adult Supervision Requirement (Mandatory)

For safety, legal, and instructional reasons, a responsible authorized adult must be physically present and supervising the student at all times during live virtual instruction.

The supervising adult may be a parent, legal guardian, or another adult specifically designated and approved by the parent or guardian. If an adult other than the parent or guardian will supervise the student, the Academy must be notified in advance.

Students may not participate in live virtual classes while home alone. If a student logs in without an authorized supervising adult present, the Academy may remove the student from the session and contact the family.

Repeated concerns regarding lack of supervision may result in:

  • A family meeting with Academy leadership
  • An attendance or safety support plan
  • Administrative review of enrollment status, including possible withdrawal or termination

5. Tuition, Billing, and Financial Responsibility

5.1 Tuition Payments

  • Tuition is charged monthly and is due on the first (1st) day of each month, unless otherwise stated in writing in your enrollment agreement.
  • Payments are processed through Stripe, our secure billing platform.
  • Families agree to keep their billing information current and to ensure that the payment method on file remains active throughout the enrollment term.

5.2 Late Payments and Non-Payment

Late or missed payments may result in one or more of the following:

  • Any late fees specified in your enrollment agreement
  • Temporary suspension of access to classes and learning platforms
  • Administrative review of the enrollment agreement, including possible withdrawal or termination

Families agree to notify LAA at least ten (10) days in advance if a payment issue is anticipated, so we can work together on a solution where possible.

5.3 Refunds

  • Tuition is non-refundable, except in specific circumstances stated in your enrollment agreement or as required by applicable law.
  • Missed classes due to student absence are not refunded.

5.4 Continuing Financial Responsibility

By enrolling, families agree to remain financially responsible for all tuition and fees associated with the student’s participation, including any tuition due during the withdrawal notice period described in Section 15.

6. Attendance and Participation Requirements

Because Legacy Arrows Academy provides live, synchronous instruction, attendance and engagement are essential to the program.

6.1 Daily Attendance Expectations

Students are expected to attend all scheduled classes unless they are:

  • Ill
  • Observing a religious holiday
  • Attending a medical appointment
  • Experiencing a documented family emergency

6.2 What Counts as “Present”

A student is typically considered present when they:

  • Log in on time
  • Participate with camera on (unless an exception has been approved)
  • Remain reasonably engaged throughout the lesson

6.3 Reporting Absences

Families must notify the Academy before the school day begins when a student will be absent. Notification should be sent to:

  • Email: Administrator@legacyarrowsacademy.org
  • Or via LAA’s official parent communication platform when available

7. Acceptable Absences and Promotion Guidelines

Legacy Arrows Academy follows a virtual-learning attendance standard consistent with many U.S.-based K-12 programs.

A student may not miss more than 10% of total instructional days per academic year (approximately 18 days in a standard 180-day year).

7.1 Chronic Absenteeism

A student may be considered chronically absent if they miss:

  • 10 or more instructional days in a semester, or
  • 18 or more instructional days in the full school year

7.2 Impact on Promotion

Students who exceed acceptable absence thresholds may:

  • Be placed on an Attendance Support Plan
  • Be required to complete supplemental assignments
  • Be at risk of not advancing to the next grade level

Repeated unexcused absences may also result in:

  • A family meeting with Academy leadership
  • Review of enrollment standing
  • Academic consequences for incomplete coursework

8. Parent and Guardian Responsibilities

8.1 Support Learning at Home

  • Provide a quiet, distraction-free learning space
  • Ensure functioning technology and a reliable internet connection
  • Encourage timely assignment completion and active participation
  • Monitor academic progress and communicate concerns promptly

8.2 Maintain Open Communication

  • Respond to Academy communication within 24 to 48 hours
  • Monitor email and Academy announcements regularly
  • Notify staff of any issues that may affect attendance or academic performance

8.3 Uphold Academy Policies

  • Follow media release and privacy rules
  • Adhere to technology and behavior expectations
  • Support the Academy’s Code of Conduct

9. Student Expectations and Virtual Classroom Guidelines

Students are expected to:

  • Arrive on time and prepared for class
  • Keep their camera on unless an exception has been approved
  • Use respectful language and behavior at all times
  • Participate actively in discussions and activities
  • Submit assignments on time
  • Avoid distractions such as phones, toys, or unrelated browser tabs during class

9.1 Technology Requirements

Families are responsible for providing:

  • A reliable internet connection
  • A working camera and microphone
  • A device that meets the Academy’s technical specifications
  • Access to all platforms required for instruction

9.2 Camera, Audio, and Environment

  • Students must remain on camera unless an exception is granted
  • Backgrounds must be appropriate and free of distractions
  • Virtual backgrounds must be school-appropriate

9.3 Academic Integrity

Students must complete their own work unless collaboration is specifically assigned. Plagiarism, cheating, or misuse of unauthorized tools may result in:

  • A parent meeting
  • Assignment redo and reduced credit
  • Additional academic consequences as determined by LAA

10. Parent Conduct and Communication Standards

Parents and guardians agree to:

  • Treat all LAA staff with respect and courtesy
  • Communicate concerns constructively through the appropriate channels
  • Avoid interrupting or coaching students during live lessons
  • Support classroom management decisions made by teachers

Parents and guardians may not:

  • Record any portion of live lessons without prior written permission
  • Interfere with the instructional flow of a class
  • Contact teachers through personal accounts or outside official Academy channels
  • Share, distribute, or repurpose any LAA curriculum materials

11. Privacy, Security, and Recording Restrictions

11.1 Privacy Protection

Families must ensure that:

  • No unauthorized individuals appear on camera during lessons
  • Student login information is kept secure
  • Any Academy digital files or materials are not shared externally

11.2 No Recording and No Screenshots

To protect student privacy:

  • Families may not record any part of live instruction
  • Screenshots of other students are prohibited
  • Posting any class content online is prohibited

Violations of these privacy rules may result in administrative review and may lead to suspension or termination of enrollment.

12. Curriculum and Intellectual Property

All instructional materials — including worksheets, slides, videos, assessments, any authorized recordings, and digital content — are owned by Legacy Arrows Academy or its licensors and are protected by intellectual property laws.

You may not:

  • Reproduce, distribute, or republish LAA materials
  • Repurpose LAA materials for any other program
  • Share LAA materials externally or post them online
  • Use LAA materials with students who are not enrolled at LAA

LAA grants enrolled families a limited, revocable, non-transferable license to use Academy materials solely for the enrolled student’s educational participation during the active enrollment term.

13. Discipline, Safety, and Learning Environment

Legacy Arrows Academy takes a supportive, restorative approach to discipline. Families will be notified when a student’s behavior interferes with learning.

Repeated behavior issues may lead to:

  • A Behavior Support Plan
  • A parent conference
  • Administrative intervention
  • Temporary removal from class activities
  • Administrative review of enrollment status

Serious violations — such as harassment, bullying, aggressive conduct, severe disruption, or privacy violations — may result in immediate intervention and possible termination of enrollment.

14. Promotion and Retention

Promotion decisions are based on a holistic assessment of the student’s academic progress and overall best interest, including:

  • Attendance
  • Academic progress and demonstrated mastery
  • Assignment completion
  • Participation and engagement

Students who fall short of grade-level expectations may be required to:

  • Complete supplemental work
  • Attend skill-building or tutoring sessions
  • Participate in an academic review meeting with family and staff

15. Withdrawal and Termination of Enrollment

15.1 Family-Initiated Withdrawal

Families must provide thirty (30) days’ written notice to withdraw from the Academy, unless otherwise specified in the enrollment agreement. Tuition during the notice period remains due and payable as described in Section 5.4.

15.2 Academy-Initiated Termination

LAA may initiate withdrawal or termination of enrollment for reasons including:

  • Non-payment of tuition
  • Repeated absenteeism
  • Severe or ongoing behavioral issues
  • Breach of these Terms or any school policy
  • Failure to meet technology or participation requirements
  • Repeated violations of privacy or recording restrictions

Termination may include removal from live sessions and platform access.

16. Disclaimers

The Services are provided on an “as available” basis. While we aim for high-quality instruction and reliable platform access, we do not guarantee uninterrupted service due to factors outside our control — including internet outages, third-party platform disruptions, device failures, and similar issues.

Legacy Arrows Academy does not provide medical, psychological, legal, or emergency services. Families remain responsible for student supervision and safety at all times.

17. Limitation of Liability

To the fullest extent permitted by law, Legacy Arrows Academy will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of data, loss of access, or interruption of services.

If liability is found, LAA’s total liability for any claim related to the Services will not exceed the amount of tuition paid for the most recent one (1) month of enrollment, or the minimum amount permitted by applicable law if different.

18. Indemnification

You agree to indemnify, defend, and hold harmless Legacy Arrows Academy and its owners, directors, officers, employees, contractors, volunteers, and agents (collectively, the “LAA Parties”) from and against any and all third-party claims, demands, actions, damages, losses, liabilities, judgments, penalties, fines, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to:

  • Your or your student’s violation of these Terms, the Parent and Family Handbook, or the Code of Conduct
  • Misuse of the Services or the website, including unauthorized access or improper use of accounts
  • Any violation of privacy, recording, or intellectual property restrictions
  • Any inaccurate, incomplete, or misleading enrollment, health/safety, or billing information provided to LAA
  • Negligence or willful misconduct by you or your student, to the extent it causes harm to LAA or others

LAA will provide notice of any claim covered by this section when reasonably possible. LAA may choose to control the defense and settlement of the claim, and you agree to cooperate reasonably in that defense.

19. Changes to These Terms

We may update these Terms from time to time. Updates will be posted on our website with a revised “Last Updated” date. Continued use of the Services after changes are posted means you accept the updated Terms.

20. Governing Law and Dispute Resolution

These Terms are governed by the laws of the State of Florida, United States of America, without regard to its conflict-of-law principles.

Any dispute arising under or related to these Terms shall be brought in the state or federal courts located in Florida, unless otherwise required by applicable law. LAA may require disputes to be resolved through informal good-faith resolution efforts before formal proceedings begin.

This Privacy Policy explains what information we collect, how we use it, who we share it with, how we protect it, and the choices and rights families have. It applies to our website, our enrollment process, our live virtual instruction, and all related Academy services (collectively, the “Services”).

1. Information We Collect

We collect only the information needed to operate the Academy, support student learning, and meet our legal obligations. Information we may collect includes:

1.1 Family and Account Information

  • Parent or guardian names and contact information (email, phone, mailing address)
  • Login credentials for LAA accounts and platforms
  • Billing contact information (the payment method itself is collected by our payment processor — see Section 7)
  • Communications between you and the Academy

1.2 Student Information

  • Student name, date of birth, age, and grade level
  • Enrollment forms and educational documentation
  • Academic records, assignments, and assessment results
  • Attendance and participation records
  • Media consent preferences

1.3 Technical Information

  • Basic device and browser information collected when accessing our website or learning platforms
  • Approximate location (country/region) inferred from IP address, used only for service reliability and security

2. How We Use Information

We use the information we collect to:

  • Provide and deliver live virtual instruction and academic support
  • Manage enrollment, scheduling, attendance, and grades
  • Communicate with families about academics, behavior, billing, and Academy events
  • Maintain student safety and verify authorized platform access
  • Process tuition payments and maintain billing records

We do not use student information to build advertising profiles, and we do not sell student data.

3. Children’s Privacy (COPPA Compliance)

Legacy Arrows Academy is designed for students in grades K-5, all of whom are under 13. We take our obligations under the U.S. Children’s Online Privacy Protection Act (COPPA) seriously.

  • We collect personal information from children under 13 only with verified parental consent obtained during enrollment.
  • Parents and guardians may review their child’s information, request corrections, request deletion, or withdraw consent to further collection at any time (see Section 10).
  • We collect only the information reasonably necessary for the educational program and do not condition participation on disclosure of more information than is needed.
  • We do not knowingly enable children to publicly share personal information on LAA platforms.

4. FERPA Voluntary Alignment

The Family Educational Rights and Privacy Act (FERPA) is a U.S. federal law that primarily governs schools receiving federal funds. While LAA is a private school that is not bound by FERPA in the same way, we voluntarily align our practices with its core principles, including:

  • Parents’ right to inspect and review their child’s education records
  • Parents’ right to request corrections to records they believe are inaccurate
  • Protection of personally identifiable information in education records from unauthorized disclosure

If you would like to exercise any of these rights, please follow the process in Section 10.

5. International Families (GDPR Awareness)

LAA welcomes families from Latin America and other countries outside the United States. By using our Services, families outside the U.S. acknowledge and consent that personal information will be transferred to, stored in, and processed in the United States, which may have different data protection laws than your home country.

We work to apply data protection practices consistent with generally accepted international privacy principles, including data minimization, purpose limitation, and security.

6. How We Share Information

We do not sell or rent personal information. We do not share student information for advertising or marketing purposes.

We share limited information only when reasonably necessary for school operations or as required by law, including:

  • With trusted third-party service providers that help us operate the Academy (see Section 7), under contracts or terms requiring them to protect information
  • With parents or guardians regarding their own children
  • With other LAA staff who need information to teach, support, or supervise the student
  • When required by law, legal process, or to protect the safety of a student, staff member, or other person

7. Third-Party Service Providers

To operate the Academy, we use a small number of trusted third-party platforms. Each provider operates under its own privacy policy, which we encourage families to review:

  • Microsoft 365 (including Microsoft Teams, OneNote, Word, Excel, and Outlook) — our core platform for live instruction, student notebooks, assignments, and school email accounts. Privacy info: privacy.microsoft.com
  • Stripe — our secure payment processor for tuition and fees. Stripe collects and stores payment-card data on our behalf; LAA does not store full payment-card numbers. Privacy info: stripe.com/privacy
  • JotForm — used for online forms such as virtual-tour requests and certain enrollment forms. Privacy info: jotform.com/privacy

If we add or change a core platform, we will update this Privacy Policy.

8. Data Retention

We keep personal information only as long as needed to operate the Academy and meet our legal obligations.

  • Active enrollment: while a student is enrolled, we retain records needed to deliver instruction and operate the Academy.
  • After withdrawal: student academic and administrative records are generally retained for five (5) years after the student leaves the Academy, after which records are securely deleted or de-identified, except where a longer retention period is required by law or by the enrollment agreement.
  • Billing records: financial records are retained for the period required by tax and accounting laws.

9. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. Examples include:

  • Access controls and individual login credentials for staff
  • Use of reputable platforms (such as Microsoft 365 and Stripe) that maintain industry-standard security
  • Limiting access to student records to staff with a legitimate educational need
  • Secure communication channels for sensitive information

No method of digital transmission or storage is completely secure. While we work to protect personal information, we cannot guarantee absolute security.

10. Your Rights and How to Exercise Them

Parents and guardians have the right to:

  • Request to review the personal information we hold about you and your child
  • Request correction of inaccurate or incomplete information
  • Request deletion of personal information, where permitted by law and consistent with our recordkeeping obligations
  • Withdraw consent for media use or other optional uses
  • Ask questions about how we handle your information

To exercise any of these rights, please email Administrator@legacyarrowsacademy.org with:

  • The student’s name and grade
  • The parent or guardian’s name
  • A clear description of your request

We will respond within a reasonable timeframe — generally within thirty (30) days — and may ask for additional information to verify your identity before fulfilling a request.

11. Cookies and Website Analytics

Our website may use basic cookies to support functionality and user experience. LAA does not currently use third-party advertising trackers or marketing pixels. Some cookies may be set automatically by the platform that hosts our website (such as WordPress).

Most browsers allow you to disable cookies through their settings. Disabling cookies may affect how some parts of the website function.

12. Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, our service providers, or applicable law. Updates will be posted on our website with a revised “Last Updated” date. Continued use of the Services after an update means you accept the revised Policy.

Non-Discrimination Policy

This policy describes Legacy Arrows Academy’s commitment to non-discrimination, equal access, and a respectful learning environment for every student, family, and staff member. It applies to all programs, services, communications, and activities of the Academy.

1. Our Commitment

Legacy Arrows Academy (“LAA,” “we,” “us,” or “our”) is a Christian, faith-informed virtual school that teaches biblical character  integrity, compassion, courage, and stewardship  while warmly welcoming families of all backgrounds, faiths, and cultures.

Our commitment to non-discrimination flows directly from our belief that every person is created in the image of God (Genesis 1:27) and is therefore deserving of dignity, respect, and fair treatment. We strive to create a learning community where every student can thrive academically, socially, and spiritually.

2. Non-Discrimination Statement

Legacy Arrows Academy does not discriminate on the basis of race, color, national origin, ancestry, ethnicity, sex, gender, gender identity or expression, sexual orientation, religion, disability, age, marital status, or any other status protected by applicable federal, state, or local law.

This commitment applies to all aspects of LAA’s operations, including but not limited to:

  • Admissions and enrollment decisions
  • Access to instruction, programs, and services
  • Tuition and billing interactions
  • Communication with staff and faculty
  • Discipline and conduct processes
  • Use of all LAA platforms and digital resources

As a Florida private school, LAA voluntarily upholds the principles articulated in:

  • The Florida Educational Equity Act (Fla. Stat. § 1000.05)
  • The Florida Civil Rights Act of 1992 (Fla. Stat. Chapter 760)
  • Title III of the Americans with Disabilities Act (ADA), 42 U.S.C. § 12181 et seq.

3. Harassment and Bullying Are Prohibited

LAA prohibits harassment and bullying based on any protected characteristic listed in Section 2. This includes, but is not limited to:

  • Slurs, insults, or degrading comments
  • Threats or intimidation
  • Unwanted sexual comments or conduct
  • Sharing or distributing discriminatory images, memes, or media
  • Targeting a student, family member, or staff member in chat, email, video sessions, or any LAA learning platform

This policy applies to conduct that occurs on LAA platforms during live instruction and to off-platform digital conduct (including social media, messaging apps, and email) that materially disrupts the learning environment or affects another student’s ability to participate.

4. Retaliation Is Prohibited

LAA prohibits retaliation against any person who, in good faith:

  • Reports discrimination, harassment, or bullying
  • Participates in an investigation or process
  • Requests a reasonable accommodation
  • Supports another person who has made a report

Retaliation will be treated as a serious violation of this policy and may result in disciplinary action up to and including termination of enrollment, removal from LAA platforms, or termination of employment.

5. Accessibility and Reasonable Accommodations

LAA is committed to providing reasonable accommodations for qualified individuals with disabilities, in accordance with Title III of the Americans with Disabilities Act and applicable Florida law.

Examples of accommodations LAA may consider include:

  • Extended time on assignments or assessments

How to Request an Accommodation

Email Administrator@legacyarrowsacademy.org with the following information:

  • The student’s name and grade level
  • The accommodation being requested
  • Any supporting documentation (such as evaluations, IEPs, 504 plans, or medical documentation), if available
  • A brief description of how the disability affects the student’s learning participation

LAA will respond within a reasonable timeframe   generally within ten (10) business days  and will engage in an interactive dialogue with the family to determine appropriate supports. LAA may request additional documentation when reasonably necessary.

6. Faith-Informed Identity and Respectful Participation

Legacy Arrows Academy is a Christian, faith-informed school. Our curriculum naturally weaves biblical wisdom, character formation, and prayer into the learning experience. We teach students to love God and love their neighbor (Mark 12:30–31), and we hold ourselves to the standards of integrity, compassion, courage, and stewardship that flow from those teachings.

At the same time, we deeply value the diversity of the families who join our community. Families of all faiths, cultures, and backgrounds are welcome at LAA and will be treated with full dignity and respect. Participation in our program does not require a particular religious affiliation; it does require respectful engagement with our staff, students, and the academy’s stated mission and values.

This faith-informed identity does not limit LAA’s commitment to non-discrimination as outlined in this policy.

7. How to Report a Concern

LAA encourages families, students, and any concerned party to report any incident of discrimination, harassment, bullying, or retaliation promptly so that we can respond effectively.

When making a report, please include (to the extent possible):

  • A description of what happened
  • Date(s) and time(s) of the incident
  • Names of the people involved
  • Names of any witnesses
  • Any supporting documentation, such as screenshots or saved messages  collected in a way that complies with LAA’s privacy and recording rules

(Reminder: LAA’s general policies prohibit recording live classes or screenshotting other students. If evidence is needed, the Academy will guide families on safe, policy-compliant ways to document a concern.)

Reports may be made by parents/guardians, students, staff, or any other person with relevant information. Anonymous reports may also be submitted, but they may be more difficult to investigate.

8. How LAA Responds (Investigation Process)

LAA will take steps reasonably designed to be prompt, fair, and thorough. The general process includes:

  1. Initial Review – Confirm safety, clarify the details of the report, and identify any immediate supportive measures needed.
  2. Supportive Measures – Implement appropriate short-term steps, such as adjusting class groupings, providing no-contact directives, or offering academic accommodations.
  3. Factfinding – Conduct interviews with involved parties and witnesses, and review relevant platform logs, messages, and submissions.
  4. Decision – Determine whether a policy violation occurred, using a preponderance-of-the-evidence standard (more likely than not), unless applicable law requires a different standard.
  5. Corrective Action – If a violation is found, implement appropriate consequences and remedies.
  6. Follow-Up – Monitor the situation to confirm the issue has been resolved and to prevent recurrence.

Confidentiality: LAA will share information related to a report only with those individuals who need it in order to respond, investigate, or provide support, and as otherwise required by law.

9. Consequences for Violations

If a violation of this policy is found, LAA may impose consequences appropriate to the nature and severity of the conduct, including but not limited to:

  • A written warning and required training or coaching
  • A behavior support plan
  • Limitations on platform access or class participation
  • Removal from specific activities or events
  • Suspension of enrollment
  • Termination of enrollment
  • Staff corrective action, including termination of employment, when staff conduct is involved

10. External Complaint Options

In addition to LAA’s internal reporting process, families may have the right to file a complaint with an external agency, depending on the nature of the concern. Possible agencies include:

  • Florida Commission on Human Relations (FCHR) – handles complaints of discrimination in places of public accommodation under the Florida Civil Rights Act. myflorida.com
  • S. Department of Justice, Civil Rights Division – handles complaints under Title III of the Americans with Disabilities Act. www.ada.gov
  • S. Department of Education, Office for Civil Rights (OCR) – handles complaints against institutions that receive federal financial assistance. www2.ed.gov/about/offices/list/ocr

Families are not required to use LAA’s internal process before filing with an external agency.

11. Scope and Updates

This policy applies to:

  • Students enrolled at LAA and their families
  • LAA staff, contractors, and volunteers
  • All conduct that occurs on LAA platforms or during LAA activities
  • Off-platform conduct that materially disrupts the LAA learning environment

LAA may update this policy from time to time. Updates will be posted on our website with a revised “Last Updated” date. Continued participation in LAA’s programs after an update constitutes acceptance of the revised policy.
